WhatsApp Business API in Malaysia: a plain guide

The WhatsApp Business API, now called the WhatsApp Business Platform, lets software such as a chatbot or a helpdesk send and receive WhatsApp messages for your business. Any Malaysian business can use it with a Meta business portfolio, a phone number and a display name. Since 1 October 2026 Meta charges for each message a business sends, at rates set by the customer's country code.

What is the WhatsApp Business API?

WhatsApp has three versions. Ordinary WhatsApp is for people. The WhatsApp Business app is a free app for small businesses, with a business profile, labels, a catalogue and simple automatic messages, run from one phone and a few linked devices. The WhatsApp Business Platform, which most people still call the WhatsApp Business API, has no app of its own: it is a connection that lets software send and receive messages on your number.

The platform is what you need when a chatbot should answer customers, when several staff share one number through a helpdesk, or when your system should send order updates. Meta hosts it through the Cloud API, so you do not run any servers yourself.

Who can get the WhatsApp Business API in Malaysia?

Any legitimate business that follows WhatsApp's Business Messaging Policy and Meta's Commerce Policy can use the platform, from a single shop to a large company. You do not need a special licence, and a Malaysian company or sole proprietor can sign up in the same way as a business anywhere else.

What Meta does check is the number of different people you can message first. A new business portfolio starts with a limit on business-started conversations, and completing Meta's business verification is one way to raise it (Meta's “Messaging limits” page, checked November 2026). Replies to customers who wrote to you inside the 24-hour window do not count against that limit.

What do you need to get the WhatsApp Business API?

Meta's Embedded Signup page (checked November 2026) describes what a business does when a provider connects it: choose or create a business portfolio, choose or create a WhatsApp account, enter and verify a business phone number, and enter a display name. The flow creates the WhatsApp assets for you, and the business owns them.

  • A Meta business portfolio (formerly Business Manager), which you can create during sign-up
  • A Facebook login for someone allowed to manage that portfolio
  • A phone number that can receive a verification code by SMS or call; it can be your existing WhatsApp Business app number
  • A display name that represents your business and follows Meta's display name guidelines
  • A payment method in Meta Business Suite for messages beyond the free allowance

How much does the WhatsApp Business API cost in Malaysia?

We do not list Meta's rates here because Meta sets and changes them; check Meta's own rate card. What matters is how the charge is worked out, because that decides what your bill looks like. All points below are from Meta's WhatsApp pricing pages, checked November 2026.

  • Per message, not per conversation: Meta charges for each delivered message a business sends.
  • By category: marketing, utility and authentication templates, plus service messages (free-form replies inside the 24-hour window).
  • By market: the rate depends on the recipient's country calling code. Malaysia (+60) is listed as its own market.
  • Service messages are charged from 1 October 2026, at the same rate as utility and authentication in each market, with no volume discount for service messages.
  • Each business number gets a free tier of 1,000 service messages a month, which does not roll over.
  • Messages customers send you are free, and replies inside a free entry point window, opened when a customer starts a chat from a Click to WhatsApp ad, are free for up to 7 days.
  • You choose a billing currency, such as MYR, when you set up billing, and it cannot be changed afterwards.

What is the 24-hour customer service window?

When a customer messages you, a 24-hour customer service window opens, and each new message from the customer restarts it. Inside that window your software can send any normal reply: text, images, links and buttons. This is where a customer-service chatbot does its work.

Outside the window, the only way to message a customer is a template: a message written in advance, sorted into marketing, utility or authentication, and approved by Meta before you can send it (Meta's “Template fundamentals” page, checked November 2026). Order updates and appointment reminders are typical templates.

How does Gydr connect to the WhatsApp Business API?

Gydr uses Meta's Embedded Signup. In the Gydr dashboard you open Channels, click Connect Channel, choose WhatsApp and click Continue with Facebook. You sign in, pick your business and number, and Meta creates the connection. There is no token to copy, and the WhatsApp account stays in your own Meta business portfolio, so Meta bills you directly and Gydr does not add a mark-up on Meta's fees.

If you already use the WhatsApp Business app, you can connect that same number and keep using the app, with the conditions Meta sets. Gydr then answers inside the 24-hour window from your own knowledge, writes one complete message per reply to keep Meta charges predictable, and holds replies for up to three days if the window has closed, sending them when the customer writes again. Gydr does not send templates or broadcasts.

How to choose a WhatsApp Business API provider in Malaysia

Many companies resell access to the platform. Compare them on these points rather than on a headline price, and ask each one to show you the answer in writing.

  • Ownership: is the WhatsApp account in your own Meta business portfolio, so you can move to another provider later?
  • Billing: does Meta bill you directly, or does the provider add a mark-up to each message?
  • Your existing number: can you keep it on the WhatsApp Business app while the software answers?
  • What it does: broadcasts and campaigns, a shared team inbox, an AI chatbot, or a mix. Pick for the job you need.
  • Answers: does the chatbot answer from your own content, and does it hand over to a person when it should?
  • Languages: can it reply in Malay, English and Chinese as customers write them?
  • Personal data: where is chat data stored, how long is it kept, and how do you delete a customer's data under the PDPA?

Common questions

Setting it up is free, and Meta does not charge for messages customers send you. Meta charges per message you send, with a monthly free tier of service messages per number. Your provider may charge separately for its software.

The WhatsApp Business app is a free phone app with fixed automatic messages. The API, now called the WhatsApp Business Platform, connects your number to software such as a chatbot or helpdesk, and Meta charges per message sent.

Yes. Meta lets businesses connect a number already used in the WhatsApp Business app, version 2.24.17 or newer, and keep using it in the app. Some app features change, such as group chats not syncing.

Meta asks for a business portfolio and, if you want higher messaging limits, business verification, which checks your business documents. Have your registration details ready if you plan to verify.

MYR is one of the billing currencies Meta lists. You choose the currency when you set up billing, and Meta's page says it cannot be changed afterwards.
